Vendor Agreement
By signing below, the Vendor agrees to the following terms and conditions:
Booth Assignment
Booth locations are assigned by event management and may not be changed without prior approval.
Set-Up & Tear-Down
Vendors agree to complete set-up before the event opens and remain open during all advertised event hours.
Early tear-down is not permitted.
Merchandise
Only products approved through this application may be displayed or sold.
Counterfeit, illegal, offensive, or hazardous merchandise is strictly prohibited.
Insurance
Vendors are responsible for all products, displays, equipment, and personal property brought to the event.
Vendors are encouraged to carry general liability insurance.
Liability Release
The Vendor understands that Heart of America Group, AC Hotel Des Moines East Village, Republic on Grand, Rudolph's Rooftop, their employees, affiliates, and event organizers are not responsible for any loss, theft, damage, or injury involving the Vendor's property, merchandise, equipment, or display.
The Vendor assumes full responsibility for participation in the event and agrees to hold harmless and indemnify the event organizers from any claims, liabilities, damages, or expenses arising from the Vendor's participation, except where caused solely by the negligence or willful misconduct of the event organizers.
Safety
Vendors agree to maintain a safe booth and comply with all applicable fire, health, and electrical regulations.
Cancellations
Vendor cancellations received:
- More than 30 days before the event: Registration fee refunded less a $10 processing fee.
- Less than 30 days before the event: No refund unless the booth space is filled from a waiting list.
If the event is canceled due to severe weather or circumstances beyond the organizers' control, registration fees may be transferred to a future event or refunded at the organizers' discretion.
Marketing Authorization
Vendor grants permission for photographs and video of their booth, products, and representatives to be used by Heart of America Group and the event organizers for promotional and marketing purposes without compensation.
Acceptance
The event organizers reserve the right to decline or remove any vendor whose products, displays, or conduct are deemed inappropriate or inconsistent with the event.
